CHADET is a child focused Ethiopian Resident Charity which exists to ensure the provision of quality services for vulnerable children. Every year CHADET supports more than 20,000 such children.CHADET will be implementing a Girls’ Education Challenge Transition (GEC-T) project funded by DFID aimed at supporting 16,503 marginalized girls stay in school, learn and successfully transit in the different cycles of education. This project is a four year project (2017-2021) to be implemented in 30 Kebeles in three Zones (South Gondar, South Wollo and Arsi) in Amhara and Oromiya Regional States. CHADET is seeking qualified candidates for the following positions.

 

Position title:        Administrative assistant and cashier


Duty Station:             
Project Offices (Debretabor, Kombolcha and Assela)

Report to:                   Project Finance and Administration Officer

Salary:                        As per the organization’s scale

Term of employment: One year contract with possible extension based on proven

                                   performance,

Desired No:                 One per project site

 

A) Major duties and responsibilities

  • Be responsible for managing and documenting incoming and outgoing letters and other information;
  • Carry out secretarial services that includes typing proofreading, drafting letters, using appropriate application software;
  • Organize and make arrangements for meetings within and outside the office as per the directives of the project coordinator and Project Finance and Admin. Officer;
  • Handle messages coming through telephone calls, postal messages, fax or electronics and forward the message on time to the project coordinator and other concerned staff;
  • Make travel arrangements for the staff as and when needed;
  • Establish and maintain proper filling system;
  • Deposit cash returned from activities timely;
  • Collect all receipts, check the validity and submit the same to the timely;
  • On the bases of the approval by the Project Coordinator, effect payments for the execution of project activities;
  • Serves as a custodian for the project office store by maintaining proper store records;
  • Prepares schedule for office utility bills (telephone, internet, electricity, water, etc.) and ensure timely payments;
  • Support during project/s workshop, meeting, training arrangements and execution
  • Ensure that the project office stationaries, refreshment and cleaning supplies are timely and adequately replaced;
  • Provide administrative support to staff and visitors as necessary;
  • Handle Petty cash and fuel coupon and submit timely replenishment request as per the threshold of the organization;
  • Carry out other similar activities as assigned by the project coordinator/Project Finance and Admin. Officer.

B) Job Requirements

  • College diploma from a recognized institution in Secretarial Science and Office Management, Management, Business Administration or other relevant fields of study.

C) Skills and Abilities

  • Fluency in English and Amharic (spoken and written) is required, in addition to this for Assela field base fluency in Oromiffa (spoken and written) is mandatory;
  • 4 years of relevant experience;
  • Excellent verbal and written communications skills in Amharic and English;
  • Highly organized, flexible, and adaptable to changing priorities;
  • Excellent typing and writing skills;
  • Good command of major computer software particularly excel;
