CHADET is a child focused Ethiopian Resident Charity which exists to ensure the provision of quality services for vulnerable children. Every year CHADET supports more than 20,000 such children.CHADET will be implementing a Girls’ Education Challenge Transition (GEC-T) project funded by DFID aimed at supporting 16,503 marginalized girls stay in school, learn and successfully transit in the different cycles of education. This project is a four year project (2017-2021) to be implemented in 30 Kebeles in three Zones (South Gondar, South Wollo and Arsi) in Amhara and Oromiya Regional States. CHADET is seeking qualified candidates for the following positions.
Position title: Project Finance and Administrative Officer
Duty Station: Project Offices (Debretabor, Kombolcha and Assela)
Report to: Project Coordinator (Administratively)/Finance Manager and HR & Administration Manager (Technically)
Salary: As per the organization’s scale
Term of employment: One year contract with possible extension based on proven
performance,
Desired No: One per project site
A) Major duties and responsibilities
- Support program staffs in the preparation and implementation of project evaluations and audits;
- Ensure that project expenditures are adequately tracked according to the agreed project budgets;
- Ensure all project income and expenditure documents are properly completed,
- Provide general administrative support to projects within the field office;
- Maintain schedules and details of project financial transfers and other project-related payments required and their due dates, and ensuring that they are executed in a timely manner according to relevant contracts;
- Prepare cheques and bank payment vouchers and journal voucher after ensuring completeness of pertinent documents and availability of approved project budget;
- Prepare monthly bank reconciliation statements for account/s maintained in the field office;
- Record and post the financial transactions of the project/s using Peachtree accounting software regularly;
- Oversee that the store operates in accordance with the store procedures of the organization;
- Make the necessary tax deduction as per income tax proclamation and transfer the same to the concerned agency timely;
- Provide monthly financial, cash on hand and bank reconciliation reports to head Quarters not later than the 3rd day of the next month;
- Maintain field office fixed asset register, update records and submit quarterly fixed asset reports to the HO;
- Track all project staff HR records including employment contracts, performance evaluation documents, letters/correspondences, etc.
- Supervising the work of Admin. Assistant/ Cashier, Drivers and Security Guards, as appropriate;
- Manage purchase of project supplies according to organization’s procurement procedures
- Carry out other related activities as may be assigned by project coordinator, HR & Administration Manager or the Finance Manager.
B) Job Requirements
- BA Degree/Diploma in Accounting, Management, Business Administration or any other relevant fields of study;
- Experience and skills - 4 Years for BA Degree, 6 Years for Diploma holders;
C) Skills and Abilities
- Fluency in English and Amharic (spoken and written) is required, in addition to this for Assela field base fluency in Oromiffa (spoken and written) is mandatory;
- Highly organized, flexible, and adaptable to changing priorities;
- Work well under deadlines;
- Work in team situation with minimum supervision
- Excellent computer skills using MS Word, Excel, Access, PowerPoint, and Outlook—must have demonstrable ability to format and scan documents, prepare presentations and use advanced calendaring and email management strategies.
